Artificial Intelligence continues to expand across the Microsoft Business Applications ecosystem, and one of the latest additions to Dynamics 365 Business Central is Expense Agent.
While expense management is not often the first process organizations think about when discussing AI, it is a business function that can consume a surprising amount of time. Collecting receipts, coding expenses, validating policy compliance, routing approvals, and processing reimbursements all require effort from both employees and finance teams.
Microsoft's new Expense Agent aims to simplify many of these activities by bringing AI-powered automation directly into the expense management process while keeping financial controls, approval workflows, and posting logic within Business Central.
Because Expense Agent is a recently introduced capability, Microsoft has identified it as a production-ready preview feature and functionality may continue to evolve through future releases. For Business Central users, however, it provides an interesting look at where Microsoft's AI investments are headed next.

What Is Expense Agent?
Expense Agent is an AI-powered expense management capability designed to automate much of the employee expense reporting lifecycle.
Rather than manually entering expense details or building reports from individual receipts, employees can submit information through several channels and allow AI to perform much of the administrative work. Microsoft states that Expense Agent can receive receipts, extract key information, categorize expenses, create expense records, and organize those expenses into reports ready for review and approval.
Employees can currently submit receipts through:
- A dedicated Expense Agent web application:
- A monitored shared expense mailbox
- Additional Microsoft channels that continue to expand as the feature evolves
The overall objective is straightforward: reduce manual effort while maintaining the governance and controls that finance teams rely on.
How Expense Agent Works
Once a receipt is submitted, Expense Agent automatically begins processing the information.
According to Microsoft, the AI engine can:
- Capture receipt information
- Identify merchants
- Extract transaction dates
- Recognize expense amounts
- Suggest expense categories
- Generate expense records
- Group expenses into reports
- Route reports for review and approval
This approach allows employees to spend less time entering information while giving finance teams more consistency in how expenses are submitted and processed.
Importantly, Business Central remains the system of record. Microsoft notes that financial controls, audit trails, approval structures, and posting logic continue to reside inside Business Central.
Key Features To Explore
AI Receipt Scanning: One of the most visible capabilities is AI-powered receipt extraction. Employees can upload receipt images or files, and Expense Agent can identify merchant details and categories automatically. Users still have the ability to review and adjust information as needed before submission.
Mileage Expense Management: For organizations with travelling employees, Expense Agent also supports mileage reimbursements. Users can enter trip details, and the application calculates mileage amounts based on company-defined reimbursement rates.
Policy Compliance Checks: Expense reporting often involves reviewing submissions against company policies. Expense Agent can provide policy validation before reports are submitted, helping users identify potential compliance issues earlier in the process. Microsoft notes that certain issues may generate warnings while others may block submission until corrections are made.
Approval Workflow Integration: Expense reports don't bypass established business controls. Managers and approvers can continue reviewing, approving, or returning reports using existing approval processes, helping organizations maintain accountability and governance.
Why This Matters for Business Central Users
One of the more interesting aspects of Expense Agent is that it extends beyond traditional Business Central users.
Microsoft indicates that employees can interact with Expense Agent through channels that do not require a full Business Central license. This could make expense management accessible to a broader group of employees, including sales staff, project teams, consultants, field personnel, and occasional expense submitters.
For organizations with distributed workforces or frequent business travel, reducing the administrative burden of expense reporting can create meaningful productivity improvements while simultaneously improving visibility into spending and policy compliance.
Expense Agent also represents a larger trend occurring across Business Central. Following capabilities such as Payables Agent and other Copilot-driven enhancements, Microsoft continues to focus on automating routine business processes while keeping employees involved in review, validation, and decision-making.
