Dynamics GP 18.9 Has Arrived: Here's What GP Users Need to Know

The latest release of Microsoft Dynamics GP 18.9 is now available, bringing a collection of enhancements focused on reporting, workflow management, auditability, and overall usability. As expected, many of the new features were driven directly by customer and partner feedback submitted through the Dynamics GP community.

For organizations continuing to invest in Dynamics GP, this release demonstrates that meaningful improvements are still being delivered to the platform while Microsoft continues its published support roadmap through 2029.

For many GP customers, this release may be one of the most practical updates in recent years because of its focus on everyday administration and financial controls, with the following highlights including:

SmartList Activity Tracking Gets an Upgrade

One of the most anticipated improvements is enhanced SmartList tracking.

Over time, many organizations accumulate hundreds of SmartLists, making it difficult to determine which reports are actively being used and which have become obsolete. Dynamics GP 18.9 introduces new visibility into SmartList activity, allowing administrators to identify when a SmartList was last used and who created or modified it.

For organizations that rely heavily on SmartLists for reporting and operational visibility, this enhancement should simplify maintenance and improve governance of reporting assets.

Stronger Audit Controls for Voided Transactions

Auditors and finance teams will appreciate a new enhancement that allows administrators to require users to enter a Reason Code when voiding a Payables Check or Payables Invoice.

While simple on the surface, this enhancement provides additional accountability and documentation around financial transactions, helping organizations strengthen internal controls and audit readiness.

Workflow Enhancements Continue

Microsoft continues to make incremental improvements to Dynamics GP Workflow. One of the most practical features in GP 18.9 is the ability to automatically complete a workflow when a Purchase Order is cancelled. Previously, cancelled POs could continue to appear within workflow queues and approval lists, creating confusion and unnecessary administrative work.

The release also includes enhanced workflow notification options, helping stakeholders remain informed throughout the approval process and after workflow completion.

Management Reporter Improvements

Organizations using Management Reporter may be pleased to see updates addressing recent compatibility issues with Microsoft Edge that impacted report access and Excel exports. These fixes help ensure continued access to one of Dynamics GP's most important financial reporting tools.

Additional Quality-of-Life Improvements

As with previous GP releases, Dynamics GP 18.9 includes a range of bug fixes and usability enhancements throughout the product.

These updates may not generate headlines, but they often deliver meaningful value to users who work in GP every day, helping improve reliability, reduce friction, and streamline common processes.

A Reminder About the Future of Dynamics GP

One of the biggest misconceptions surrounding Dynamics GP is that it will somehow stop working when Microsoft's support lifecycle reaches its published dates.

That is not the case. Microsoft has stated that product enhancements, regulatory updates, and technical support will continue through December 31, 2029, with security updates available through April 30, 2031. Meaning you can take your time to future plan for map out the ERP journey for your organization, and when you're ready, the GP Support North team at Endeavor4 will be there to support you the entire way.

What GP Customers Should Do Next

  • Review the GP 18.9 feature list and determine which enhancements provide value to your organization.
  • Evaluate upgrade readiness if you are running an older GP version.
  • Review SmartList and workflow processes to take advantage of the new functionality.
  • Continue developing your long-term ERP roadmap, whether that includes Dynamics GP, Microsoft Dynamics 365 Business Central, or a phased transition strategy.
