Five Ways to Tell If It’s Time for an ERP System Replacement

Email | Print

Your ERP system is the lifeblood of your business. You depend on it to do a variety of tasks every day, including managing your finances, projects, inventory, human resources and more. But like any technology, ERP systems are constantly advancing, and eventually do reach a point when their age begins to affect their usefulness. If it’s time for an ERP system replacement, you may start to notice a variety of issues popping up.

Red flags that signal it’s time for an ERP system replacement:

  1. You rely on spreadsheets to get things done – With all the modern technology that’s now available to support businesses, spreadsheets are not really an efficient or effective way to run a business. They require a lot of manual workarounds and duplicate data entry that’s prone to error. Whereas modern ERP systems automate a lot of common tasks and erase the need for you to spend time entering the same information across multiple systems.
  2. You have difficulty following requirements from regulators, creditors, or board members – Most modern ERP systems are compliant with a variety of regulatory standards out of the box. Of course, if your ERP system predates the regulations you are trying to follow, it may not include some of the compliance features you need. And, adjusting it may be time-consuming and/or expensive.
  3. Competitors routinely outperform you – If your competitors are consistently beating you on price, cost, quality, service, or lead time, this does not necessarily mean that their product or service is better than yours. It just means that they manage their business more efficiently. Having a modern ERP system that connects everything from quote to cash makes managing a business easier in a variety of ways. For example, you’re always working with a single version of the truth. You never need to question whether the information you’re looking at is up to date. Also, because there’s no need for duplicate data entry, or switching between systems to find information, your staff can get more done in less time.
  4. Your management team has trouble getting the insight that they need to make well informed business decisions – Easy to use, at a glance analytics are one of the key features that modern ERP systems offer. Dashboards deliver business intelligence customized to each specific user’s role. That way, you avoid wasting countless hours searching for useful data and then organizing it into a meaningful report.
  5. Your system is not able to grow with you – If you find yourself needing features that your current system cannot offer, or it’s getting in the way of your ability to respond to changing customer or market demands, you risk getting left behind. Today’s customers are very well informed and expect not only great customer service, but also that a business is able to quickly adapt to changing trends.

Although replacing an ERP system is a big decision that no business looks forward to, sometimes it’s necessary. If any of the scenarios I covered above sound familiar, it’s time to take a hard look at your ERP and consider whether now is the right time to upgrade.
