In our last blog post and accompanying video, we showed you just how easy Acumatica cloud ERP software is to use. Now, I’d like to take that discussion one step further and talk to you about Acumatica security and sitemap.
Since it closely relates to the topic of usability, let’s start with the site map. In effect, Acumatica is basically a giant website and it is designed as such. So, navigating Acumatica is just like navigating any other website. When you open the program you will be greeted by a series of clearly labeled menus and tabs, making it a breeze to quickly zero in on the information that’s most important to you. Now on to the issue of security. When most people think about moving their important business processes such as accounting, HR, payroll, inventory and more to a cloud system one of their first concerns is whether or not their data will be safe. Many people subscribe to the misconception that cloud services like Acumatica are less secure than what most businesses maintain in-house. However, the opposite is actually true. Acumatica is designed to meet the security needs of even the most highly regulated industries such as healthcare, banking and government. And unlike many other web-based applications, when you move to the cloud with Acumatica you don’t lose control over your business data and processes. You can choose the server location that is most comfortable and convenient for your needs.
Additional security features that make Acumatica more secure than the competition:
- Strong, yet flexible authentication options – When choosing how you would like users to authenticate themselves in Acumatica you have a variety of choices, including limiting logins to certain IP addresses, defining how long passwords must be and how often they must be reset, selecting how long you would like to allow inactive users to remain logged in. And if that’s not enough, you can also set up 2 factor authentication which will require users to enter a passcode sent to their mobile device as well as a username and password before they are allowed to access the system.
- Encrypted communications – When transferring information between a user’s browser and your Acumatica system, https, the same encryption trusted by banks is employed. And best of all, with Acumatica using https to secure your data does not mean you have to sacrifice performance.
- Database encryption – Certain sensitive information such as credit card numbers, Social Security numbers and bank account numbers etc. need to be handled with particular care. To protect this type of data, Acumatica allows you to encrypt the fields that hold it in the SQL database, which protects you in the event that a backup copy of your database is ever lost or stolen.
- Menus display only what each individual user is authorized to see – once a person logs in, the menus that they see are tailored to their specific Acumatica security settings. If they do not have the correct authorization to view a page, report etc. it will not even be listed as an option for them. This also speeds learning as users are not bogged down by menu items that are not relevant to their role.
