Equipment rental businesses move fast as customer inquiries come in throughout the day. Contracts need attention, units need to be available when promised, and dispatches need to stay on track. If you’re running this kind of fast-paced operation, you need quick answers and clear information without having to search through inboxes, systems, and spreadsheets.
That is where AI can make a meaningful difference.
We’re introducing a new generation of AI capabilities built specifically for equipment rental businesses and Microsoft Dynamics 365 Business Central users. The launch includes two purpose-built AI agents, the Rental Contract Agent and Sales Rep Agent, along with RUX Rentals MCP, a governed connection that gives AI tools secure access to the RUX Rentals data model.
With this release, RUX is the first Microsoft Business Central partner to bring AI agents and full Model Context Protocol (MCP) integration to the equipment rental industry.
AI that supports the way equipment rental business actually works.
RUX built these new capabilities around the everyday processes rental teams and Business Central users already manage. The goal is to help your team respond faster, reduce manual handoffs, and get clearer visibility into the information that drives your business.
"Our customers run complex businesses with a lot of moving parts: units in the field, contracts renewing, crews dispatching, and customers who expect an answer now," said Natalie Lemke, CEO of RUX Software. "We built these agents and this MCP integration because our customers deserve tools that match the pace of their operations."
The Rental Contract Agent moves inquiries forward.
The Rental Contract Agent will give your rental team a faster path from an incoming inquiry to a quote or contract. Instead of manually sorting through inbound rental emails, the agent turns those conversations into actionable work. Your team can see customer communication in one workspace and move opportunities forward with the information they need close at hand.
Before committing equipment to a customer, the agent can help confirm real availability. This will give your team greater confidence when responding to inquiries and helps reduce avoidable scheduling issues. From there, users can move into quote and contract generation to improve turnaround times and keep the rental process moving.
The Rental Contract Agent also includes performance tracking, giving operations leaders visibility into how the process is working over time. For busy equipment rental teams like yours, that means less time managing inboxes and more time serving customers.
The Sales Rep Agent keeps customer interactions organized and actionable.
The Sales Rep Agent, part of RUX Advanced CRM, brings Sales team interactions, like emails, calls, meetings, notes, and customer conversations into a single, structured queue. Emails, calls, meeting notes, and imported transcripts can be captured in one place so your sales reps and managers can focus on the right work first.
The agent can also route inbound communication to the appropriate contact and opportunity, create follow-up actions, and track the next steps that keep opportunities moving. Outlook integration supports a reviewed, thread-aware workflow so your Sales team can maintain consistent customer communication while continuing to work in familiar tools.
The Advanced CRM app already helps Business Central users organize and manage customer relationships, and the Sales Rep Agent takes that a step further by turning interaction information into action.
RUX Rentals MCP opens new ways to work with rental data.
The third piece of this launch may be one of the most exciting for Business Central users and partners.
RUX Rentals MCP extends the standard Business Central MCP server with more than 70 API endpoints covering rental units, contracts, quotes, deliveries, dispatch, billing, accruals, and more. In practical terms, this allows your authorized users to ask natural-language questions through Copilot AI and access real-time rental information. For example:
- Which contracts are expiring this month?
- Which units are currently on rent?
- What deliveries are scheduled for tomorrow?
The answers come directly from the rental data your Business Central users already rely on to run the operations.
Security and governance remain central to the experience too. Every query from your team runs under the permissions of the authenticated Business Central user, extending the organization's existing security model to Copilot AI. Your system administrators also have control over which operations are permitted, including whether Copilot can read, create, or modify information.
AI agents built for rental complexity and ready for what comes next.
As we actively build alongside the people who use our products every day, we know that your equipment rental business operates on complex processes, and the technology supporting you needs to understand that complexity to be helpful.
These two new AI agents and the new MCP integration represent an important step forward for users of RUX Rentals, Advanced CRM, and the broader Business Central ecosystem. They offer faster response times, fewer manual processes, and easier access to the information that keeps your operations moving.
For software partners, these capabilities also create new ways to deliver differentiated AI solutions to your Business Central customers with complex rental and field service operations.
