Team Member licenses are designed to give users with limited permissions access to the tools they need to perform their job tasks within Microsoft Dynamics 365 Business Central (BC). They are an excellent choice for users who don't require the full capabilities of Essentials or Premium licenses.

Business Central License Types

The first two types, Essentials and Premium, are full-user licenses.

A Business Central Essentials License is a standard license type that gives users access to most of the standard functionality of your Business Central system, including:

The Team Member License, according to Microsoft, is for users who "are not tied to a particular function" and who only need "basic functionality," such as "read access as well as some writing access for select light tasks." In other words, it is for any workers who don't need full access to all the files and functionality of your Business Central solution. If you have at least one full-user license, you can purchase an unlimited number of Team Member Licenses.

What Can You Do with BC Team Member Licenses?

You can read anything within the system. That means you can see everything but don't have access to change everything. However, with the proper permissions set, you can change some things. The Team Member License plus permissions allow you to:

  • Modify previously created customer, vendor, and item records.
  • Update specific accounting entries, such as due dates on customer ledger entries.
  • Approve any assigned workflows.
  • Create, edit, or delete sales quotes.
  • Create, edit, or delete personal information.
  • Enter time sheets for jobs.
  • Use PowerApps for Dynamics 365.

Permissions Included in Team Member Licenses

Like the other Business Central licenses, Team Member licenses let you set permissions for new users. These permissions will help your company maintain cleaner, more accurate data. Specific permissions options are:

  • D365 Read allows users to read but not edit all tables in Business Central.
  • D365 Team Members allows users to modify, add to, or delete portions of the tables in Business Central. For instance, you could give a user permission to make changes to sales orders and item cards.
  • Local Features permits users to create, delete, and modify access to all local features in Business Central.
  • D365 Security lets you give access to a Team Member user to manage users.
  • D365 Troubleshoot allows access to troubleshooting tools in Business Central
